Finance automation for invoices, inboxes and follow-ups.

WeekFound helps reduce repeated invoice admin, finance inbox queries and follow-up preparation around the accounting tools you already use. We agree the source records, review points and manual fallback before automating the repeated steps.

Small finance tasks become a permanent workload.

Approved work has to become an invoice. Documents arrive in different places. Payment reminders need sending. Month-end checks rely on several spreadsheets and personal notes.

Each task may be manageable on its own, but together they consume time and make progress harder to see. A controlled workflow can organise the repeated work without weakening financial oversight.

Finance automation should make preparation and checking more consistent around the accounting tools you already use. Agree the source records, reconciliation rules and approval boundaries before removing manual steps. Our completed finance workflow illustrates account context and follow-up; it is not a promise that every accounting task should run unattended.

Finance inbox automation: one query, one checked next action.

An email asking for an invoice copy can mean finding the customer, checking the reference, locating the right document and reading the previous conversation. That repeated searching is a useful place to start. A disagreement over a balance or a changed payment arrangement still needs the responsible person.

Prepare the work around your existing records

Choose one recurring request, such as an invoice-copy enquiry. Agree which customer and invoice records the workflow can use, what a correct match looks like and which attachments may be shared. Missing or ambiguous information should go into a review queue rather than become a guessed answer.

Make ownership and approval visible

The team needs to see who is handling the query, whether somebody has already replied and what the proposed response would do. Keep preparation separate from permission to send. Recheck the current conversation before an approved action, and put an uncertain sending result on hold for review. Our shared Outlook inbox guide explains the duplicate-reply checks to agree before launch.

See the review flow before connecting a mailbox

The finance email management demonstration shows a fictional invoice-copy request, a proposed action and an editable reply. It uses prepared examples and does not connect to a live inbox, call a live AI service or send email. A production version would need its own access, matching and acceptance tests.

If your team uses Outlook, check the actual Microsoft 365 mailbox, permitted access and existing rules first. Review licence and integration requirements before agreeing a build. Keep a working manual route so the team can continue handling queries if a connection fails.

Simplify the preparation, checking and chasing.

The right finance automation supports your existing process and accounting tools rather than pretending every decision is automatic.

01

Invoice preparation

Create draft invoices from approved jobs, orders or records where the information is suitable.

02

Document collection

Gather, name and route invoices, receipts or supporting files to the agreed location.

For purchase invoices, purchase orders and expenses, scope the required invoice number, supplier, job or project code, amounts, PO and receipt evidence. Agree which reviewer can approve each project’s costs. Check duplicates and matching tolerances, then send mismatches for review before payment. Our invoice and PO matching study is a proposed workflow, not a completed distributor or construction-sector implementation.

03

Payment reminders

Prepare or send reminders according to approved timings, wording and exception rules.

Payment reminders should use the latest balance, conversation and dispute status—not just an overdue date. Agree wording, intervals, stop rules and when a person takes over. The invoice-chasing checklist explains checks before sending; our finance case shows account-context work, not a guarantee of debt recovery.

Xero already has invoice reminder settings. Check whether those timings and messages meet your needs before paying for custom work. If a gap remains, assess how current balances, replies and disputes would reach the reminder process; do not assume an extra integration is necessary.

04

Review queues

Put missing information, mismatches and unusual items in one clear place for a person.

If a supplier statement does not match your records, compare invoice and credit references, dates and amounts before treating an item as missing. Agree how unmatched or duplicated entries are reviewed and which record can be updated. The reconciliation study is an illustrative proposal; supplier-statement automation would need its own data and matching tests.

05

Repeatable month-end work

Coordinate agreed checklists, source files and management reporting steps.

A slow month end can start upstream: late invoices, inconsistent references, unreconciled transactions or unclear responsibility. Map the close dependencies and expected source dates. For bank reconciliation, prepare candidate matches and an exception list rather than posting uncertain entries automatically. Our reconciliation proposal is a starting point for assessment, not a verified bank-reconciliation product.

Professional-services firms using CMAP and Xero should check the existing CMAP integrations before commissioning bespoke reconciliation. For reports across accounting systems, match projects and accounts, agree cut-off dates and compare control totals before combining figures. This is a compatibility assessment, not a completed CMAP integration or a claim of sector-specific results.

Control matters more than speed.

Financial automation must make approvals, exceptions and records clearer—not remove the oversight a business needs.

For Pleo expense approvals, review the existing review and approval flow first. Agree spending limits, receipt evidence, the reviewer and escalation for exceptions before adding another workflow. Bank-detail changes and unusual expenditure should not become approved merely because a document was captured.

  • ✓Payments are never made without the agreed human authorisation.
  • ✓Missing financial information is flagged rather than invented.
  • ✓Access can be limited to the people and systems that need it.
  • ✓Important actions can be recorded for review.
  • ✓Approval points, exception handling and a manual fallback are agreed during scoping.

Finance automation may be a good fit when…

Repeated, controlled preparation is usually a stronger starting point than work that depends on accounting judgement.

To connect Xero to existing software or prepare an Excel export, check native reports and integrations first. Bring the exact data needed, sample records and permitted read/write access; agree identifiers, totals and failure handling before a build. This is integration scoping, not a claim of Xero partner status or a delivered Xero-specific developer service.

Sage reporting or CRM integration depends on the exact product and edition, available exports or APIs and permitted access. Identify which system owns each customer field and how changes will be checked. Sage provides product-specific developer information; we would confirm compatibility before accepting a build, without claiming specialist Sage credentials on this page.

  • The same invoice or document steps happen repeatedly
  • Information is retyped between operational and accounting systems
  • Staff regularly chase documents, approvals or overdue accounts
  • Month-end depends on the same recurring checks
  • It is difficult to see what is complete and what needs attention

The workflow supports your finance process; it does not replace professional accounting or tax advice.

The next finance action, with the account context beside it.

In a completed finance build, current workflow data and incoming messages were brought together to prepare replies and debtor follow-ups. The team retained review of sensitive decisions and exceptions instead of sending a confident answer without the facts.

Can credit control be automated without chasing the wrong account?

A useful invoice chasing or credit control follow-up needs the current account position, recent messages and any dispute or promise to pay. In our completed finance build, the system brought the relevant context together and prepared the next action. Exceptions and sensitive decisions stayed with the team.
