Give each enquiry one clear route.
The system should help people respond well, not create unnecessary sales noise.
01One enquiry route
Capture agreed details from website forms, shared inboxes or other supported sources.
Capture the enquiry source, arrival time, owner and next action in the existing sales system. Distinguish a new lead from a reply or duplicate, and show requests with no assigned owner. An acknowledgement can confirm receipt quickly; it should not pretend to answer a customer’s question or start repeated messages without appropriate rules.
02Assignment and priority
Route enquiries using practical rules such as location, service or urgency.
03Helpful responses
Prepare acknowledgements, draft replies or internal tasks using approved wording.
Customer onboarding needs a clear record of what has been requested, received, checked and approved, with conversations connected to the same account. Our trade-account workflow example shows that context. For a new setup, agree required fields, duplicate checks and authorisation; an application arriving is not permission to open an account.
04Follow-up prompts
Create the next action when an enquiry has not received a response or decision.
For sales opportunities and quotes waiting on a response, show age, current status, latest conversation and the owner of the next action. Exclude accepted, declined or withdrawn quotes. Pause routine chasing when a reply arrives and put unresolved questions with the owner. Our completed follow-up queue checked current PDFs and duplicate recipients before a person reviewed the message.
05Pipeline visibility
Keep stages, owners and outstanding actions visible in the system your business uses.
